Set Up Rillet Fields in Brex
When you connect Brex to Rillet, all relevant fields from Rillet sync automatically into the Brex Fields Library. These fields include subsidiaries, GL accounts, VAT rates, vendors, and any custom fields you have created. To make these fields available while coding bills and expenses in Brex, you need to review and enable them.
Setting up your Rillet fields correctly ensures accuracy when your team prepares, reviews, and exports transactions to Rillet.
View Rillet Fields in Brex
Once the integration is connected, you can see all synced fields in your Brex workspace.
Go to Accounting > Fields Library section to view all fields synced from Rillet.
Brex displays these fields as Accounting Fields, which indicates they came directly from Rillet. If you see additional fields under other categories, they were created in Brex and do not sync back to Rillet.
Enable Rillet Fields on Bills
By default, some Rillet fields may not appear on bills in Brex. You need to enable them so your team can correctly code transactions before exporting them.
Use this process to make a field available on bills:
In the Fields Library, find the field you want to use.
Click Configure Field.
Select Edit.
Turn on the option to display the field on bills.
Click the Confirm button to apply changes.
Once enabled, the field appears in the Brex bill coding interface, allowing your team to select the correct value when preparing bills.
Note that certain fields maybe hidden in Brex and not surface in Brex's standard accounting view. Please work with primary Brex admin to surface those. eg. the Credit GL Account is not part of the standard accounting view but can be surfaced so that Charge Reversals can be synced in by mapping to Credit GL Account.
Avoid Creating New Fields in Brex
Brex allows you to create additional internal fields, but these do not sync to Rillet. To maintain consistency across both systems, create and manage all fields directly in Rillet.
Any changes made in Rillet automatically sync to Brex, keeping your accounting structure aligned.
