Classify and Sync a Bill

Classifying a bill in Brex ensures your accounting data is accurate before it syncs to Rillet. When you assign a GL account, custom fields, and subsidiary, Brex uses that information to sync the bill to Rillet instantaneously. This process allows you to keep your financial records aligned across both systems.

How Bill Classification Works

Bills created in Brex must be fully coded and approved before they sync. Each line item requires a GL account and subsidiary when applicable. Once the bill is approved, Brex sends it automatically to Rillet.

Classify a Bill

Use this process to code a bill in Brex before exporting it to Rillet.

  1. Go to Bills > Pay a bill.

  2. Enter the required bill information, including vendor, invoice number, amount, and date.

  3. For each line item, assign the following:

    • GL account

    • Subsidiary

    • Custom Fields (ex. Department)

    • VAT classification (if applicable)

      Note: Review the total amount, VAT, and net amounts. Brex calculates VAT using tax-inclusive values.

  4. Select the payment method once the bill has been fully coded.

  5. Click Next.

  6. Click Submit for approval.

  7. Click Approve.

  8. Click Confirm.

Approve the bill to complete the classification process. Once approved, the bill becomes eligible for automatic syncing.

Automatic Syncing to Rillet

You do not need to manually export bills from Brex. After you classify and approve a bill, Brex sends it automatically to Rillet using real-time webhooks.

If the sync fails, Brex shows an error message so you can resolve the issue before it retries.

Rillet receives the bill instantly and displays the information exactly as it was coded in Brex.

You can view:

  • Amounts

  • Subsidiary

  • Currency

  • Attachments

  • All line items including GL Account and custom fields

  • A link back to Brex

If an error occurs, Brex displays the reason so you can resolve issues without guessing.
