Classify and Sync Charges

Classifying charges in Brex ensures that your card transactions are coded correctly before syncing to Rillet. When you assign the GL account, custom fields, and subsidiary, Brex uses this information to export the charge in real time through the Rillet integration. This helps keep all expenses accurate and consistent across both platforms.

How Charge Classification Works

Charges appear in Brex under Accounting Workflows. Each charge must be coded before it can be exported. You classify the charge by selecting the correct accounting fields and submitting the charge for review. After review, you export the charge using Direct to Rillet, sending it instantly into Rillet.

Classify a Charge

Use this process to code a charge in Brex.

  1. Go to Accounting in Brex.

  2. In the Prepare tab, select the charge you want to classify.

  3. Assign the following fields to complete the classification:

    • GL account

    • Subsidiary

    • Custom fields (ex. Department)

    • VAT classification (if applicable)

      Note: Review VAT amounts when using VAT-inclusive calculations.

  4. Select Prepare for Review to move the charge to the review stage.

Once the charge is prepared, it becomes available for final review and export.

Sync a Charge to Rillet

After classification and review, you can sync the charge to Rillet.

  1. Go to the Review tab in Accounting.

  2. Select the charge you want to export.

  3. Click Export.

  4. Choose Direct to Rillet.

  5. Click Next.

  6. Click Export to confirm.

Brex sends the charge to Rillet immediately using webhook-based syncing.

View the Charge in Rillet

Once exported, the charge appears in Rillet with all the information you classified in Brex.

You can view:

  • Transaction amount

  • VAT and net amounts

  • Currency

  • Subsidiary

  • GL account

  • Custom fields (ex. Department)

  • A link back to Brex

  • Matched bank transaction if available

If any information is missing or invalid, Brex displays an error message so you can correct the classification.
