Create and Manage Custom Roles

Roles in Rillet define what actions users can perform across your organization. You can use managed roles provided by Rillet for quick setup or create custom roles tailored to your internal access needs.

Roles determine permissions for modules such as Contracts, Accounts Payable, and Reporting, ensuring that every user has the right level of access.

Accessing Roles

To access and manage roles:

  1. Click the company icon in the top right corner of the screen.

  2. Go to Organization Settings.

  3. Select Member & Roles > Roles.

  4. Use the dropdown at the top of the page to view available roles.

    • Roles with a Custom tag are those you’ve created.

    • Roles without that tag are managed roles provided by Rillet.

Creating a New Role

To create a custom role:

  1. Click Add new role.

  2. Enter a role name that reflects the user’s function or responsibility.

  3. Choose the scope of the role:

    • Organization-Level: Grants access to shared objects such as Vendors or Organization Settings.

    • Subsidiary-Level: Grants access to subsidiary-specific objects such as Bills or Payments.

  4. Select the level of access:

    • Full Access: Create, view, edit, and delete records.

    • View Only: Read-only access.

    • Custom: Manually define access for each module.

    • No access: Restricts all permissions for the selected module.

  5. Expand any module to fine-tune permissions as needed.

  6. Click Save new role.

Editing Roles

To modify an existing role:

  1. Click the company icon in the top right corner of the screen.

  2. Go to Organization Settings.

  3. Select Member & Roles > Roles.

  4. Select the role from the dropdown list.

  5. Click the pencil icon to enable editing.

  6. Update the permissions as needed.

  7. Click Save changes to apply the updates.

Note

  • The scope (Organization or Subsidiary) of a role cannot be changed after the role has been created.

  • Managed roles (predefined by Rillet) cannot be modified, but you can duplicate and customize them instead.

  • Roles cannot be deleted at this time.

Permission Details

Each role includes a permission matrix with four main permission types: View, Create, Edit, and Delete.

You can expand each module in the Roles tab to enable or disable these actions as needed.
