Salesforce Integration

If you use Salesforce to manage your sales pipelines, you can connect your account with Rillet and let our platform turn your opportunities into contracts. This article will explain both how to set up the initial integration with Salesforce and how to review contracts created from Salesforce opportunities in Rillet.

Before you begin, ensure you can access your Salesforce and Rillet accounts.

To Connecting Salesforce with Rillet

There are two ways to access the Salesforce integration:

  1. Launchpad: Access the Salesforce integration through the Browse Integration section from the Launchpad.

  2. Organization Settings

    1. Click your company logo in the lower-left corner of the screen.

    2. Go to Organization Settings > Integrations.

  3. Under CRM, select Salesforce > Not Connected.

  4. Click Connect to begin the integration process.

  5. You will be directed to the Salesforce login page. Enter your credentials and log in.

  6. Enter the Required Information for Synchronization Settings:

    1. Sync Data from: Specify the date you want to start syncing opportunities. All opportunities with a close date on or after this date will be synced automatically into Rillet.

    2. Default Product for imported Opportunities: Select a product that will be the default if you do not use opportunity line items. This product is just a fallback for opportunities without line items.

    3. Custom Salesforce field name for opportunity start date (Optional): This field represents the start date of the contract term. It is not a standard field in Salesforce, but adding it can automate contract setup in Rillet.

    4. Custom Salesforce field name for opportunity end date (Optional): Similar to the start date.

  7. Click Save to complete the integration setup.

To locate your salesforce custom field names, In Salesforce, navigate to Set Up > Objects & Fields > Object Manager. Then select Opportunity, navigate to Fields and Relationships and then view the related fields.

Once you've completed these inputs, Click Save and you're ready to go!

Syncing Salesforce Accounts, Products and Opps

Customers and Products will only be created in Rillet when they are associated to a Closed Won opp. Salesforce opps will automatically sync into Rillet once they have a status of Closed Won.

Managing Salesforce Contracts in Rillet

When your opportunities sync into Rillet, they’ll appear as Contracts to be reviewed in your main Rillet launchpad under the Workflow Snapshot section.

You’ll need to review each Salesforce contract individually before they can be confirmed as Rillet contracts. Click on the Contracts to be reviewed to begin reviewing them.

You’ll be taken to a new screen with a list of all your contracts to be reviewed. Note that each contract is labeled Pending Review (Salesforce) in the far right column.

Click on a contract to open it. You’ll need to follow the same steps you’d take to create a contract from scratch, except information will be auto-filled based on what was pulled from Salesforce. Simply follow the steps to confirm the contract and make any necessary changes.

Once you’ve reviewed your Salesforce synced contract and confirmed the information is correct, it will appear in your list of contracts and will no longer be labeled as Pending Review. You’ll need to follow these same steps with each contract synced from Salesforce into Rillet. This is to help you ensure all information is retained correctly during the syncing process.

Additional Information:

  • Sync Frequency: The sync runs every 30 minutes, importing new closed Won opportunities.

  • Pending Review State: All synced opportunities will initially be in a "Pending Review" state, which will not impact metrics, journal entries, or invoicing.

  • Editing After Sync: You can change the start/end dates and other details after syncing, as contracts will be in a review state.

  • Avoiding Duplicate Accounts: Provide a list of Salesforce account names and IDs to prevent duplicating accounts in Rillet.

Can I used anything beside Opportunities?

Yes you can also use Orders to sync contracts into Rillet. Talk to your Rillet team member to enable this flow.

Why are my salesforce orders or opportunities not syncing in?

There are a few things that could prevent an object from syncing:

  • Confirm the Close Date of the object is on or after the sync start date (in your Salesforce Settings)

  • Confirm the API names of the start date and end date are in the correct syntax

  • Confirm the object is in a closed won state
