Pay a Bill
You can mark a bill as paid directly from the Bills list using the Pay Expense workflow. This process records the payment, assigns it to a cash account, and allows Rillet to match the payment automatically with the related bank transaction during cash reconciliation.
This helps ensure accurate tracking of bill payments and simplifies bank matching.
Before You Begin
Make sure that:
The bill already exists in Rillet.
You have permission to manage bills and record payments.
The cash account (for example, a checking account) is set up in your workspace.
Pay a Bill from the Bills List
To mark a bill as paid:
Go to Accounts Payable > Bills.

Locate the bill you want to pay.
Bills may appear as Unpaid, Partially Paid, or Paid.
In the Actions column, click the three dots (⋮) next to the bill.
Select Pay Expense.

In the Pay Expense window, review and enter the payment details:
Account: Select the cash or bank account used to pay the bill (for example, Mercury GBP).
Amount: Defaults to the total amount due. Edit this value if the bill was partially paid.
Date: Defaults to today’s date. Change it to match the actual payment date if needed.
Click Confirm to record the payment.

How Pay Expense Works with Cash Reconciliation
When you record a payment using Pay Expense:
Rillet creates a payment record tied to the selected cash account.
This allows Cash Reconciliation to match the bill payment with the corresponding bank transaction when it appears in Bank Activity.
If the transaction already exists, Rillet will suggest it as a recommended match.
If not, it will automatically match once the bank feed updates.
This ensures that:
The bill is marked as paid.
The bank transaction is reconciled correctly.
Your cash balance and accounts payable remain accurate.
Notes
You can pay bills that are unpaid or partially paid.
Partial payments are supported by editing the Amount Paid field.
Matching may take a few moments after saving, depending on bank sync timing.
You can refresh Cash Reconciliation to see recommended matches.
