Cash Reconciliation

Use Cash Reconciliation to review bank transactions and match them to invoices, bills, transfers, or quick entries in Rillet.

When you import transactions, Rillet analyzes them automatically before you review them. This reduces manual work and helps you focus only on transactions that require attention.

How Matching Works

When a bank transaction is imported, Rillet evaluates it through multiple matching layers. Each layer increases match confidence before the transaction appears for review.

Rillet applies the following matching logic:

Transactions from connected systems such as Stripe or Ramp include metadata that allows Rillet to match them automatically with full confidence.

Rillet checks for exact matches against existing records. It evaluates:

  • Transaction amount

  • Invoice or bill numbers in the description

  • Transaction dates

If exactly one record matches, Rillet suggests it as a high-confidence match.

You can configure reconciliation rules for recurring transactions. These rules apply predefined logic when certain conditions are met.

For example, you can create rules for:

  • Rent

  • Utilities

  • Bank fees

  • Specific merchants

Rules automatically assign GL accounts, vendors, customers, and required custom fields.

If no exact match exists, Rillet suggests the closest match based on transaction similarity and past categorizations.

Review and Reconcile Transactions

The reconciliation view displays bank transactions on the left and suggested matches on the right. This layout allows you to review and confirm matches efficiently.

At the top, you will see two tabs:

  • Action Needed shows transactions that still require your review or confirmation.

  • Matched shows transactions that have already been reconciled, either automatically or manually.

A counter displays the number of transactions that were automatically matched. This helps you understand how many transactions were processed without manual review.

Understand Confidence Badges

Each suggestion includes a colored badge that indicates its source and confidence level. These badges appear in the AI column.

  • High appears in purple with a robot icon and indicates a high-confidence automated match.

  • Medium appears in orange with a robot icon and indicates a suggested match that may require review.

  • Rule appears in blue-gray without a robot icon and indicates the match was created by a reconciliation rule configured by your team.

Use this badge to decide whether you want to confirm the match immediately or review it first.

Understand Suggestion Types

You can identify the type of record being suggested by the icon displayed next to it.

Suggestions may represent:

  • Invoices

  • Bills

  • Credit memos

  • Transfers

  • Quick entries

These icons help you understand what type of transaction Rillet is proposing before you confirm the match.

Match a Transaction

Use the Action Needed tab to review and confirm suggested matches.

Confirm a Suggested Match

Follow these steps to confirm a suggestion without making changes:

  1. Go to Action Needed.

  2. Locate the transaction and hover over the AI column in that row.

  3. Select the Checkmark (Match) to confirm the match.

The transaction moves automatically to the Matched tab.

Edit Before Matching

If you need to review or modify details before confirming:

  1. Go to Action Needed.

  2. Locate the transaction and hover over the badge in the AI column.

  3. Select the Edit option.

  4. In the Edit This Match panel, review the transaction details. You can adjust the following fields:

    • GL account

    • Vendor

    • Department

    • Location

    • Amount (including split entries)

  5. Select Match to confirm.

The transaction moves to the Matched tab after confirmation.

Unmatch a Transaction

If you need to reverse a match:

  1. Go to the Matched tab.

  2. Locate the transaction and hover over the badge in the AI column.

  3. Select Unmatch.

The transaction returns to the Action Needed tab for further review.

Configure Reconciliation Automation and Rules

From the Reconciliation Automation page, you can control how transactions are auto-matched and define rules for recurring transactions. These settings work together to reduce manual review and ensure transactions are categorized consistently.

Access Reconciliation Automation

Follow these steps to open the automation settings:

  1. Select the company icon.

  2. Go to Organization Settings.

  3. Select Accounting.

  4. Locate the Reconciliation Automation section.

This page contains two main areas:

  • Auto-match settings: Controls how Rillet automatically confirms suggested matches.

  • Cash Reconciliation Rules: Allows you to define rules for recurring transactions.

Configure Auto-Match Behavior

Use the Auto-match dropdown to control how Rillet automatically confirms suggested matches.

  1. Locate the Auto-match dropdown field and select one of the following options:

    • High confidence: Automatically confirms only high-confidence AI matches.

    • Rule: Automatically confirms transactions that match your configured rules.

    • Medium confidence: Confirms both high and medium confidence suggestions.

    • Never auto-match: Requires manual review for all transactions.

  2. (Optional) Enable Define max transaction amount to limit automation by transaction value.

  3. Select Save changes to apply your settings.

These settings determine which transactions move directly to Matched and which remain in Action Needed.

Create and Manage Reconciliation Rules

Use reconciliation rules to automatically categorize recurring transactions such as rent, utilities, or bank fees. Rules apply predefined conditions and create a quick entry with the correct accounting details.

Follow these steps to create a rule:

  1. Under If the following conditions are met, define the rule conditions:

    • In Type, select the field you want to evaluate (for example, Merchant or Description).

    • Select the condition operator (for example, equals or contains).

    • In Add, enter the value that the system should match.

  2. Select Add Condition to include additional criteria if needed.

  3. Under Create Quick Entry, configure the accounting details:

    • Account

    • Vendor or Customer

    • Department (optional)

    • Location (optional)

  4. Select Save changes to apply the rule.

When a transaction matches the defined conditions, Rillet automatically categorizes it according to the configured quick entry.

When to Use Manual Review

If a transaction does not meet the criteria for auto-matching or confident suggestions, it remains in Action Needed.

From there, you can:

  • Search for an existing match

  • Create a quick entry

  • Transfer between accounts

  • Adjust and confirm the transaction manually

This ensures that your books remain complete and accurate while minimizing routine work.
